Terms & Conditions: Weddings
1. Scope of Work, Usage Rights & Copyright
Copyright Ownership: The agency/photographer retains full copyright ownership of all produced imagery, video content, and artistic materials across all global territories. The company asserts both its moral and legal rights to be credited as the creator.
Licensing & Reproduction: Any rights granted to the Client to publish or copy media are strictly non-exclusive licenses. The Client may not transfer or sub-license these rights to third parties without prior written consent. Reproduction rights take effect only after all related invoices are settled in full.
Third-Party Consents & Liability: The Client is solely responsible for securing any necessary model releases, venue permits, or intellectual property rights required for public use. The Client agrees to indemnify the service provider against any legal claims or damages resulting from unauthorized usage or missing permissions.
Social Media & Portfolio Usage: The service provider reserves the right to showcase project photos and videos on its official social media channels and promotional platforms. If the Client requires privacy, this must be requested in writing prior to booking confirmation.
Definitions: "Media" or "Image" covers all visual outputs, including digital photographs, raw footage, video edits, graphic designs, and composite works. "Client" refers to the individual or entity named on the booking agreement.
2. Booking, Payments & Deliverables Schedule
Payment Requirement for Final Output: No digital files or physical prints will be released until 100% of the agreed project balance has been cleared.
Online Photo Gallery: Client will receive access to a online gallery featuring high resolution event photos within 3 to 5 weeks following the shoot date.
Video Content Delivery: Fully edited wedding and event videos will be delivered within 5 to 9 weeks following the event.
Creative Discretion & Rejections: The production team will curate, edit, and deliver the best selection of footage captured. Video lengths vary based on event flow and ceremony length. Results cannot be rejected on the basis of artistic style, composition, or editing preferences unless explicitly agreed upon beforehand. Modifying or re-editing delivered media without written approval is prohibited.
3. Add-On Services, Raw Files & Printed Albums
Raw / Unprocessed Data: Raw files are not included in standard deliverables. Unprocessed footage/data can be requested within 6 months of the event date on a 1TB hard drive for an additional fee of AED 500. The company assumes no responsibility for raw data stored or deleted after 6 months.
Physical Photo Albums: Custom albums (30 pages / up to 100 photos), this ratio of photos to pages we find gives the cleanest look without over-crowding pages, design can be modified before print. cost of album is AED 1,500. Layout design begins only after full payment for the album is cleared. Delivery takes 15 days following final proof approval.
Schedule Alterations & Extra Events: Adding extra event days or changing scheduled functions from the original quote will incur additional fees based on required crew size and event scope.
4. Event Execution, On-Site Logistics & Limits
Event Cooperation & Key Guests: The Client must designate a point-of-contact (or helper) to assist the crew in identifying key family members and guests. Crucial moments (e.g., speeches, cake cutting, surprises) must be communicated to the crew in advance. The team is not liable for missed coverage of specific individuals if clear instructions were not provided.
Venue Restrictions: The service provider is not responsible for performance limitations caused by venue rules (e.g., restrictions on flash photography, drone usage, or restricted access areas). The Client is responsible for negotiating permissions with the venue.
Travel & Accommodations: Local event coverage assumes a Dubai-based crew. All travel, transport, and accommodation costs for assignments outside Dubai must be covered by the Client.
Unforeseen Events & Data Loss: The service provider is not liable for failure to perform or loss of data due to force majeure events, including extreme weather, floods, fire, civil unrest, government restrictions, transit loss, or hardware failure beyond reasonable control.
5. Extended Working Hours & Overtime Policy
Official Working Hours: Operating hours are calculated from the agreed start time noted in the official shoot plan until the timestamp of the final shot recorded. This calculation includes mandatory breaks, setup, waiting periods, and travel between locations.
Standard Overtime (12 to 16 Hours): If event coverage exceeds the standard 12-hour duration up to 16 hours, an overtime fee of AED 500 per crew member per hour applies. Shooting will continue automatically within this window.
Extended Overtime (16+ Hours): For shoots extending past 16 hours, overtime increases to AED 1,000 per crew member per hour. The crew will notify the Client before proceeding past the 16th hour.
Invoicing & Settlement: Overtime calculations will be provided by the accounts department within 2 days of the event. Payment for overtime must be settled within 3 to 4 days. Post-production timelines will be paused until overtime fees are cleared.
6. Cancellation, Postponement & Rescission
Cancellation Fee Schedule: Cancellations must be submitted in writing. Non-refundable cancellation fees are structured as follows:
Minimum cancellation fee upon booking: 15% of total package value.
Cancelled within 3 months of the event date: 50% of total package value.
Cancelled within 2 months of the event date: 100% of total package value.
All expenses already incurred by the service provider prior to cancellation will be billed in addition to the cancellation fee.
Postponement Policy: If an event is postponed due to official health emergencies or unforeseen lockdowns, original package pricing will be locked for up to 6 months. Postponements beyond 6 months require a re-quoted package. In cases of full cancellation with no rescheduled date, eligible refunds will be processed within 60 to 90 days.
Non-Payment & Suspension: Failure to settle invoices by the due date entitles the service provider to suspend post-production, revoke web gallery access, or terminate the agreement and seek recovery for damages
